Internal AI knowledge assistants
Find the answer.
Check the source.
Help your team work with the company information they are allowed to use: procedures, project records, product documentation and internal guidance.
Discuss your knowledge workflowThe starting point
Repeated questions, scattered information.
If employees repeatedly search folders or interrupt an experienced colleague to find a procedure, an assistant may help. It retrieves relevant material from an approved collection and prepares an answer with references for the employee to check.
We start with one team, a defined document set and real questions. That makes it possible to compare the assistant with your current search tools and measure whether it helps people complete the task.
Before building, we assess features already available in your existing products. Custom integration or a private deployment should address a need those options leave unresolved.
Knowledge needs ownership
Permissions and current sources come first.
Approved material
We agree which collections belong in the system and who maintains them. Superseded documents, conflicting versions and poor scans need explicit handling.
Access boundaries
The system must enforce source access during retrieval and prevent answers from exposing material a user cannot read. Permission changes, deleted records and cached copies belong in testing.
Answers that can be checked
Source links or document references help users inspect the evidence. We design for missing or conflicting information, including a clear response when the approved sources do not support an answer.
A reference is useful evidence to review; it is not a guarantee that a generated answer is correct.
Prove usefulness
Evaluate the task your team actually does.
- Can staff find the right source for representative questions?
- Are answers supported, current and appropriately limited?
- Does the assistant decline questions it cannot answer?
- Do access restrictions hold across users and document updates?
- How much review, correction and maintenance does the workflow require?
We agree acceptance criteria before rollout and keep a set of evaluation cases for future changes. Document refresh, monitoring, incident handling and operating ownership are part of the scope.
Where it runs
Match the deployment to your information.
For private operation, models can run on your hardware or in your cloud account. The design also covers document extraction, embeddings, logs, backups and support access.
Where appropriate, we can integrate provider-hosted frontier models. Approved content sent to those services crosses their processing boundary, and token pay-per-use charges remain.

What do people
keep asking?
Describe a repeated question, where the answer lives and who needs access. No confidential documents are needed for the first message.
