An illustrative workflow

A clearer starting point
for the next quote.

An AI assistant could organize an incoming request and flag what is missing, so your estimator starts with a reviewable draft.

Synthetic example. This is a static illustration of a proposed workflow, not a live model, client case study or measured result. No documents are uploaded or processed here.

01 / Incoming request

A short email.

Line 1: Please quote 20 stainless ball valves, 1/2 inch NPT, 316.

Line 2: Also 50 gaskets to match.

Line 3: Deliver to our warehouse next Friday. Include certificates.

All request details above are invented for this demonstration.

02 / Prepared for review

A structured starting point.

Requested items

20 ball valves: 1/2 inch NPT; 316 stainless stated. Source: line 1. No SKU, stock availability, pressure rating or price established.

50 gaskets: “to match” is ambiguous. Source: line 2. Application, dimensions and material need clarification; compatibility cannot be inferred from this request.

Missing information

  • Required ratings, service conditions and exact product specification.
  • The intended gasket application and standard.
  • Warehouse delivery address and a confirmed calendar date.
  • Which certificates the customer requires.

Proposed draft. An estimator checks the source and decides what to ask next.

03 / Human decision

The estimator owns the quote.

The assistant has not selected a suitable product or promised delivery. Pricing, substitutions, technical suitability and customer commitments stay with the authorized reviewer.

See a possible clarification draft

Thanks for the request. Could you confirm the valve ratings and service conditions, the intended gasket application/specification, the delivery address and calendar date, and the certificates required? We’ll use those details to confirm suitable items and prepare the quote.

This draft requires review before sending. Nothing on this page sends an email.

In an implemented workflow, the reviewed information could enter an existing quote or ERP process through an agreed integration. Product records and availability would need approved sources of their own.

Before rollout

Test it against real work.

We would evaluate a representative set of requests for extraction errors, missed ambiguity, unsupported product matches, review time and integration failures. Those results determine whether the workflow is useful enough to deploy.

Customer-controlled hardware, self-hosting in your cloud and provider-hosted frontier models are different options. We select the approach after agreeing the information boundary and workload; each has continuing costs.
